Geofencing for attendance is a validation method that uses GPS coordinates to confirm an employee is physically inside a defined location boundary before their check-in is accepted. If the device's location is inside the boundary, the check-in is valid. If it is outside (whether the employee is at home, in their car, or at a different branch) the check-in is flagged or blocked.

It sounds simple because it is. But the operational impact for multi-location businesses is significant.

Before geofencing, the most common attendance fraud pattern was "buddy punching", one employee clocking in on behalf of a colleague who had not arrived yet. In the UAE, KSA, and Jordan, where many companies operate across multiple branches with rotating staff, this is a well-known problem that directly inflates payroll.

How geofencing works technically

The GPS accuracy problem, and how we solve it

GPS accuracy is the most common objection to geofencing-based attendance, and it is a legitimate one. Consumer GPS on smartphones has a typical accuracy of 3 to 15 meters in open outdoor conditions. Inside buildings (which is where most employees are checking in) accuracy degrades to 10 to 50 meters because the GPS signal is weakened by walls, ceilings, and other structural materials.

In dense urban environments like Dubai Marina, Downtown Riyadh, or Amman's business district, GPS signals can be further affected by signal reflection off buildings.

This means that if you set your geofence radius too tight (say, 30 meters), employees inside the correct building may see false rejections because their GPS reading puts them slightly outside the boundary.

Generous default radii

We recommend a default geofence radius of 100 to 150 meters for most branch locations. This is large enough to absorb normal GPS drift while small enough to block genuine remote check-ins. Employees on different floors of the same building, or in the adjacent parking structure, will still check in successfully.

Wi-Fi BSSID as a secondary validation layer

For environments where GPS is unreliable, basements, dense malls, indoor facilities, TimeGate can use Wi-Fi BSSID verification as a secondary check. The company registers the BSSID (the unique identifier of the branch's Wi-Fi router) in the system. When employees check in, the app can optionally verify that their device is connected to the correct network, confirming physical presence at the branch regardless of GPS accuracy.

This layered approach makes TimeGate's check-in validation significantly more reliable than GPS-only geofencing.


Configuring geofences for different location types

Standard office or retail location

Recommended radius: 100 to 150 meters
Validation: GPS geofence only

Most offices and retail locations work well with GPS alone. Set the boundary generously enough that employees on different floors of the building and in the parking structure can check in without issues.

Dense urban building (mall, tower, business complex)

Recommended radius: 80 to 120 meters with Wi-Fi BSSID
Validation: GPS + BSSID

In environments where GPS is unreliable indoors, adding BSSID verification ensures only employees connected to the branch network can check in, even if their GPS signal is weak.

Industrial facility or campus

Recommended radius: 200 to 500 meters
Validation: GPS geofence

For large facilities (warehouses, factories, logistics parks) a larger radius is appropriate. The boundary should encompass the entire facility, including loading docks, outdoor areas, and on-site parking.

Remote or field workers

Special case: employees who work at client sites or in the field need a different approach than a fixed geofence. TimeGate supports "manager-defined location" check-ins for field teams, where the approved check-in location changes per shift and is set by a supervisor.


What geofencing does not do

Being clear about the limitations of geofencing helps you configure it correctly and set realistic expectations with your team.

Geofencing does not track employees continuously. Location is checked only at the moment of check-in (and optionally at check-out). Between those two events, there is no tracking of where the employee is or what they are doing.

Geofencing does not catch employees who arrive on time and leave early. If an employee checks in at the correct location and time, then leaves two hours into their shift, the geofence will not detect this. Check-out validation addresses this case.

Geofencing can be spoofed on jailbroken or rooted devices. GPS spoofing apps exist and can simulate a false location. TimeGate detects and flags check-ins from devices with known spoofing apps installed, but this is an arms race rather than a complete solution.

Geofencing is not a substitute for management. It is a data integrity tool. It ensures your check-in records reflect reality. What managers do with those records is still a human decision.


Employee communication: how to roll out geofencing without creating resistance

Geofencing rollouts fail most often not because of technical problems, but because of poor communication. Employees feel surveilled when they do not understand what is being tracked and why.

"Starting [date], we are moving to a digital attendance system that verifies check-ins are made from the branch location. This ensures our records are accurate for payroll.
